2.0 Information that we hold

2.1 We currently collect and process the following information via our contracted Grant Management System provider. Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the council.

Applicant and beneficiary:

  • Full name
  • Address
  • Email address
  • Telephone number
  • Name of company
  • Company registration number
  • Company website address
  • Financial accounts and previous tax returns
  • Tenancy or leasehold agreement
  • Bank details

For the purpose of:

  • submitting business grant applications to the fund
  • to enable payments to be made
  • to monitor and evaluate the impact of the funding

3.0 How the information is obtained

3.1 To be able to contact you about your application for business grant funding:

  • to be able to enter into a Funding Agreement with you, should your application be successful
  • to be able to monitor and evaluate the impact of the successful applications on the beneficiaries
  • to enable payments to be made upon a successful application and submission of a fully evidenced claim form

We also receive personal information indirectly, from the following sources in the following scenarios:

  • your legal representative, where you have given your consent
  • public records

3.2 There are a number of reasons why we need to collect and use your personal information. Generally, we collect and use personal information where:

  • you have requested a service from us
  • you have entered into a contract with us
  • you, or your legal representative, have given us your consent
  • it is necessary for law enforcement reasons and to prevent, and detect fraud or crime
  • it is necessary for archiving, research, or statistical purposes - for these purposes, your data would be used in a pseudonymised format (name and other identifying information replaced with a unique number)

4.0 What we do with the information

4.1 We use the information that you have given us in order to:

  • contact you about the business grant application process and any applications you submit
  • evaluate applications submitted
  • shortlist the applications and submit to the nominated officer/s for decision under delegated powers
  • enter into Funding Agreements with successful applicants
  • monitor and evaluate project delivery and impact on beneficiaries

4.2 We may share this information with:

  • The project delivery team and evaluation panel members
  • North Northamptonshire Council
  • Our Grant Management System supplier
  • Business and IP Centre Northamptonshire
  • Companies or organisations responsible for conducting investigations into the funding, or evaluating the funding programme
  • External auditors to North Northamptonshire Council

We may also share this data with other business support providers where express permission has been given. It will not be used for any other purpose. We may also contact you, where you have agreed, for further information regarding the interaction; and with details of other opportunities available through the project.

4.3 We do not use automated decision making for equalities processing. Automated decision-making is where decisions are made about you without any human influence on the outcome. These may affect your legal rights or have an impact on your circumstances, behaviour, or choices.

4.4 There is no profiling undertaken in relation to equalities processing. Profiling is where you analyse parts of an individual’s personality, behaviour, interests and habits to identify their preferences, make predictions or decisions about them.

5.0 How long we keep your information for and how we securely dispose of it after use

5.1 We keep your personal information for purposes outlined in sections 2 to 4 in line with the council’s retention schedules. A copy of the retention schedule can be requested.

5.2 We will securely dispose of your information in line with retention periods.

6.0 How we store your information

6.1 Your information is securely stored on the council’s grant management systems, in which the servers are UK based. Our Grant Management system supplier processes information on behalf of the council and there are appropriate contractual safeguards in place.

7.0 Your data protection rights

7.1 The law gives you a number of rights to control what personal information is used by us and how we can use it.

7.2 Please be aware that your rights may differ depending on the lawful basis for processing your personal data.

7.3 The right to withdraw consent - You can ask that we no longer use your details for this processing. If you wish to exercise this right, please contact the Data Protection Officer detailed in section 8.1 below.
