The following privacy notice applies to the Adult Social Care services that are part of the Expert by Experience initiative, which support us in a range of activities, projects and co-production initiatives including:

  • being part of an interview panel
  • reviewing any new documentation which has been put together for service users and carers
  • supporting staff training
  • sharing lived experience as an opportunity for learning and development
  • attending engagement or network events
  • participating in focus groups (online and in person); and
  • completing surveys

2. Information that we hold

2.1 We currently collect and process the following information for those individuals who have expressed an interest in becoming an Expert by Experience:

  • First name
  • Surname
  • Date of birth
  • Full address and postcode
  • Contact telephone number
  • Email address

Because it might impact on your experience of social care, we will ask you to provide more sensitive types of personal information, including information relating to your health as part of your application; and to ensure that we have a diverse representation of backgrounds, cultures, and experiences:

  • Sex
  • Gender
  • Ethnicity
  • Disability
  • Physical or mental impairment
  • Special requirements for reasonable adjustments e.g. large print, language or mobility
  • services you are interested
  • information around Adult social care services you have engaged with

3. How the information is obtained

3.1 Most of the personal information we process is provided to us directly by you when you have completed the Adult Social Care ‘Experts by Experience Expression of Interest Form.

3.2 There are a number of reasons why we need to collect and use your personal information. Generally, we collect and use personal information where:

  • We have a legitimate interest in processing your data to improve and shape the future of adult social care systems and services, in North Northamptonshire for the benefit of all;
  • you have signed up to engage with us a service from us; and
  • you have made your information publicly available.

3.3  The provision of your personal information is required from you to enable you to work with us for engagement opportunities. If you do not provide your personal information, we will be unable to arrange for you to support us with co-production activities and tasks.

4. What we do with the information

4.1 We use the information that you have given us to: 

  • to review your suitability to become a member of our Expert by Experience team; 
  • to create a skills profile based on your expression of interest preferences;
  • Contact you with details of engagement opportunities;
  • understand your recent experience of adult Social Care Services in North Northamptonshire (within the last 5 years);
  • send you communications, which you have requested and that may be of interest to you;
  • process requests that you have submitted in accordance with the relevant criteria;
  • notify you of changes to our services;
  • ensure that we treat people fairly (equal opportunities and diversity); 
  • ensure that you are comfortable contributing respectfully, alongside people who may have had different experiences from your own;
  • identify what good support in the community may look like;
  • ensure that you know what confidentiality is and why it is important to keep things confidential if needed.

4.2 We will share your skills profile with North Northamptonshire Council’s Adult Social Care colleagues and teams, to enable them to have an understanding of your involvement preferences identified in the expression of interest form. 

This is only for the purposes of providing support as Experts by Experience for co-production tasks; and maintaining data base for internal resources.

4.3 We do not use automated decision making for this data processing.

Automated decision-making is where decisions are made about you without any human influence on the outcome. These may affect your legal rights or have an impact on your circumstances, behaviour, or choices.

4.4 There is no profiling undertaken in relation to this data processing. Profiling is where you analyse parts of an individual’s personality, behaviour, interests, and habits to identify their preferences, make predictions or decisions about them.

5. How long we keep your information for and how we securely dispose of it after use

5.1 We keep your personal information for Expert by Experience activities within the Adult Social Care directorate in line with the council’s retention schedules. Your information from your expression of interest form, will be kept for the duration that you are an Expert by Experience (whether you are a core panel member or not).

A copy of the retention schedule can be requested through the council’s website.

5.2 We will securely dispose of your information in line with retention periods.

6. How we store your information

6.1 Your information is securely stored on the council’s systems, in which the servers are UK based.

7. Your data protection rights

7.1 The law gives you a number of rights to control what personal information is used by us and how we can use it.

7.2 Please be aware that your rights may differ depending on the lawful basis for processing your personal data.

7.3 Those who no longer wish to be an Expert by Experience are to notify [email protected] by email, and we will then remove your data and information from our records within 12 weeks.

8.1 If you would like further information about how we use your personal information, or you wish to exercise one of your data rights or you wish to complain about the use of your personal information please contact the Data Protection Officer.

8.2 If you are still dissatisfied once you have contacted the Data Protection Officer, you have the right to complain to the ICO.
