2 Information that we hold

2.1 We are collecting the minimum amount of information about you/your child to complete a booking onto one of our children’s activities or events.

3.1 Most of the personal information we process is provided to us directly by you

3.2 What is the basis for us to process your data?

The provision of your child’s information and your contact information form a contract between you and the council.

We require your consent to photograph and publish your child’s image. You do not have to provide your consent if you do not wish to, it is not a condition to enable you register for one of our activities or events. If you do provide your consent for you/your child to be photographed, you can withdraw this at any time by emailing the Data Protection Officer.

4 What we do with the information

4.1 How we will use the information held about you

Your/your child’s information will be used to ensure the chosen activity is appropriate for their age and to provide any necessary assistance in relation to any medical conditions or disabilities they may have. Your contact information will only be used in the case of an emergency or other contact deemed absolutely necessary.

4.2 Who we will share your information with

Only relevant staff within North Northamptonshire Council will have access to your booking details.

Your booking and consent form will be legitimately shared with the activity provider if it is not directly provided by North Northamptonshire Council. The activity provider will handle your information

Medical details will be shared with the relevant health services in an emergency.

If you have consented to your child being photographed, the images may be used in publications, including on-line material, which are accessible by the general public.

4.3 Automated decision-making is where decisions are made about you without any human influence on the outcome. These may affect your legal rights or have an impact on your circumstances, behaviour or choices.

4.4 Profiling is where you analyse parts of an individual’s personality, behaviour, interests and habits to identify their preferences, make predictions or decisions about them.

5 How long we keep your information for and how we securely dispose of it after use

5.1 We keep your personal information for all aspects of processing in line with the council’s retention schedules.

The data you supply will only be retained until such time as the activity booking is complete. If you have given consent for your child to be photographed, images will be retained and may be used for promotional purposes. Your consent remains in place for the life of the image, you can withdraw your consent at any time as detailed above.

5.2 All information is held securely and will be securely destroyed when no longer needed.

6 How we store your information

6.1 Your information is securely stored on the council’s systems.

7 Your data protection rights

7.1 The law gives you a number of rights to control what personal information is used by us and how we can use it. Please see section 15 of the council’s Corporate Privacy Notice for further information.

7.2 Please be aware that your rights may differ depending on the lawful basis for processing your personal data.

7.3 The right to withdraw consent (if applicable). You can ask that we no longer use your details for this [processing/groups of processing]. If you wish to exercise this right, please contact the Data Protection Officer detailed in section 8.1 below.
