Create a single central register
Schools can design their own SCR templates. Below are recommended headings:
Identity
- record the full name, current home address, and date of birth
- verify ID with original documents (no photocopies). Confirm name, date of birth, and address with photographic ID (e.g., passport). If unavailable, seek additional forms of ID.
- record seen evidence (e.g., passport) and the checker's name and date
- retain copies of ID and Right to Work documentation confidentially in local personnel files
Role
- optionally record employment start date and job title, updating as necessary
- distinguish between "supervised volunteer" and "unsupervised volunteer" based on required vetting checks
Qualifications
- record only required professional qualifications (e.g., QTS for teachers)
- mark non-required qualifications fields as 'N/A'
Teaching regulation agency checks
- check and record prohibitions, directions, sanctions, and orders for school staff and Governors
- Conduct Prohibition Order (PO) checks for teaching staff
- record checks on the Teacher Services website (personal details, training, QTS, induction status, sanctions, prohibitions)
- for academies and free schools, PO checks for HLTAs and relevant TAs
Section 128 barring direction check
- mandatory for Senior Leadership, Heads of Departments, and Academy Governors appointed after January 5, 2015
- check via the Teacher Services website
Vetting checks
- conduct a Children’s Barred List check for all staff in regulated activity
- enhanced DBS Check should include a Children’s Barred List Check
- ensure volunteers working in regulated activity have the appropriate checks
Proof of right to work in the UK
- verify proof before employment starts, retaining documentation securely
- apply the same for frequent and intensive volunteers
Third-party suppliers and contractors
- obtain written notification (letter of assurance) of vetting checks from agencies and contractors
- enhanced DBS Check (including Children’s Barred List Check) for unsupervised contractors
- always check contractor identity upon arrival
